Business Call Answering · AI, people or both

AI and human call answering for Australian businesses

What happens when someone calls and the team cannot answer? A call that rings out is a decision nobody made. Vantrel sets up the answer: an AI answering service for defined call types, human answering with 24-hour cover, or both, with a defined path to a person when the AI cannot continue. Business call answering as an answering service, an AI receptionist, or the two under one set of rules.

The three ways a business call can be answered

AI answering, human answering, or both

  • AI answeringAn AI agent answers defined call types: it identifies the reason for the call, handles the enquiry, makes a booking where the business uses one, or qualifies the enquiry, within the limits set for it. When it cannot continue, the call goes to a person with the context passed along. Suits high volumes of routine calls and hours when nobody is available.
  • Human answeringA person answers in the business's name, takes messages, handles the enquiry as briefed, and transfers or escalates as agreed. Delivered by Vantrel's own team and a partner team depending on the service, on an Australian or an offshore team as you prefer, with 24-hour cover. Suits calls that need judgement, sensitivity or a conversation.
  • BothAI first for the defined call types, a person for the rest and for anything the AI hands over, under one set of rules for hours, overflow and escalation. Suits a business that wants routine calls handled at once by the AI and the harder ones handled by someone.

Each path ends somewhere defined. The hand-off states are the design decisions the review settles with you.

The people behind the answering

Vantrel's team and a partner team, 24-hour cover

Vantrel's own team and a delivery partner's team, depending on the service. You contract with Vantrel.
Where
Blended Australian and offshore teams. A business can ask for an Australian team or an offshore team.
Hours
24-hour cover.
More than answering
The same teams handle overflow, after-hours, outbound calls, bookings, collections, back-office work and email or chat. Contact Centre Outsourcing is the service for that wider scope.

What drives the cost

Volume, hours, and what each call needs

  1. Calls per month, and the share the AI completes against the share a person handles
  2. After-hours cover
  3. Messages versus transfers versus bookings, because each takes a different amount of handling
  4. Set-up: call types, scripts and knowledge, the hand-over recipient, hours

Questions

Who answers when the AI cannot continue?

A person: your own staff or Vantrel's human answering team, depending on the setup, with the context of the call passed along. The route (a transfer, a callback, a message) is set per client when the answering is configured.

Where are the people, and when do they work?

Human answering is delivered by Vantrel's own team and a partner team, depending on the service; you contract with Vantrel. Teams are blended across Australia and offshore, and a business can ask for an Australian team or an offshore team. Cover is 24 hours.

Is this an AI receptionist?

AI answering is one of the three options on this page, and it does the job people mean by "AI receptionist": answering defined call types, taking messages, making bookings where the business uses one, and handing over to a person. The difference here is that the person is part of the design, not an afterthought.
